Everything you need to run Tracecanon yourself — uploading, processing, cited answers, plans and data handling. If something isn't answered here, the contact form reaches a monitored mailbox.
1. Getting started
What can I upload? Audio (mp3, wav, m4a, aac, flac, ogg, opus and more), video (mp4, mov, mkv, webm, avi) and documents (pdf, docx, rtf, txt, md, html), email (eml, Outlook msg, and mbox exports from Gmail, Outlook or Apple Mail — one message per page; each attachment becomes its own item), spreadsheets (xlsx, xls, csv — cited by sheet and cell, formulas kept beside their values), ZIP archives (each supported file inside becomes its own item, with its path; the archive itself is kept unchanged) and images. Files are checked by content, not just extension, and every file is scanned for malware before it is processed: an infected file is quarantined, never opened, and you can delete it.
How long does processing take? Typically a fraction of the recording's length; it runs in the background, so you can close the tab. The matter page shows live status, and you receive an email when a batch finishes.
What's free? Thirty minutes of transcription, 25 cited questions, 3 files and one export — enough to see a real cited answer on your own material before paying anything.
How do I invite a colleague? Matter members are added from the matter's people panel; how many seats you have depends on your plan (Case Plus 2, Professional 3, Firm 10).
What languages are supported? The interface and answers work in English and Spanish. Transcription understands most major spoken languages; each matter has an output language setting that controls the language answers come back in.
2. Transcripts, answers and citations
What does “cited” mean? Every answer points at the exact places in your own evidence it came from — file, timestamp or page. If the evidence doesn't support an answer, Tracecanon says so instead of guessing. You verify conclusions against the sources; the citations make that a click, not a search.
Why is my transcript inaccurate in places? Speech recognition degrades with noise, crosstalk and distance from the microphone. You can edit any segment — edits are tracked, the original is preserved, and analyses use the latest reviewed text.
Why did the AI answer “insufficient evidence”? By design: when retrieval finds nothing that actually supports an answer, Tracecanon refuses rather than inventing one. Rephrase the question or check the material covering that topic has been uploaded and processed.
Why can't I run analyses on the free tier? The free tier covers transcription and cited Q&A. Structured analyses (findings, chronologies, entities, inconsistencies) are part of paid plans — a Case Pass unlocks 5 of them for one matter.
Is this legally admissible or certified? Tracecanon assists review; it is not a certification body and does not produce legal conclusions. Evidence safeguards (hashing, audit trail, source manifests) support your chain-of-custody arguments, but admissibility is always a question for your lawyer in your jurisdiction. See the AI notice.
3. Plans, hours and billing
Case Pass vs Solo — which one? A Case Pass ($79, one-time) covers one matter thoroughly for 90 days: 5 hours of processing and 5 analyses. Solo ($49/month) is for ongoing work: up to 5 matters and 15 hours every month, plus the inconsistency engine. Episodic case → Case Pass; steady flow of matters → subscribe.
What happens when I hit my included hours? New processing waits — nothing is lost. Add a top-up pack (5, 15 or 40 hours) and queued work resumes automatically, or upgrade the plan. You get an email at 80% so it doesn't surprise you.
Do unused hours roll over? Included plan hours reset each period. Unconsumed top-up hours carry over.
How do I upgrade, downgrade or cancel? Everything is self-serve from the pricing page and your billing settings; cancelling stops future renewals and access runs to the end of the paid period.
Invoices and VAT? Payments run through Stripe, which issues receipts to your billing email. Add your company details and VAT number in the checkout so they appear on the receipt.
4. Privacy, security and processing modes
Who can see my evidence? Only members of the matter. Access is enforced per matter and per organization, every access is written to a tamper-evident audit log, and staff do not browse customer evidence.
Where is my evidence processed? Transcription and analysis are sent through OpenRouter, restricted to an approved list of model providers, with model training and data collection denied and zero-data-retention routing required on every request. Your files are stored in our own object storage, not by those providers. A self-hosted Private mode is not offered yet. Details in the security overview.
How long is my evidence retained? By plan: 7 days on Free, 90 on Case Pass and Solo, 180 on Case Plus and Professional, 365 on Firm. Expiry is enforced automatically and legal hold (Firm) exempts a matter from purging.
Can I export everything if I leave? Yes — transcripts, findings and reports export from each matter, and you can delete your account and its data yourself at any time.
How do I delete a matter permanently? Deleting a matter removes its evidence, transcripts and derived data; the audit trail keeps only hashed references. Deletion is immediate and not recoverable.
